AI-Powered Inquiry Detection and Auto-Emailing


If you run independent sites — especially if you manage multiple sites (what we call a “site network”) — you know this “sweet pain” all too well: traffic goes up, inquiries go up, and suddenly your inbox is crammed with every kind of email imaginable.

I’ve been suffering from exactly this lately. Every morning I open my inbox like I’m digging for gold in a trash heap — promos, spam, and a bunch of inquiries so vague they make no sense at all. The genuinely valuable customer inquiries easily get buried in the flood, and when you don’t reply fast enough, potential orders slip away.

To solve this, I spent some time giving my site-network system a small upgrade. The results surprised even me — it honestly saved me at least 80% of my inquiry-processing time.

Today I want to share my “AI inquiry processing system” in the hope it sparks some ideas for you.

The Pain Point: Imprecise Inquiries Are a Waste of Life

Before upgrading the system, I faced these headaches every day:

  1. A flood of junk inquiries: Promos and SEO-service spam never stopped, plus garbled text and one-liner nonsense. Filtering through it was exhausting.
  2. Multi-language barriers: Running a global business means inquiries in every language. Translation tools help, but copy-pasting one by one is painfully slow — and when the translation is off, you can end up misunderstanding the customer.
  3. Valuable info gets buried: When your inbox holds hundreds of unread emails, it’s easy to miss the gold that actually needs your immediate attention. Opportunities slip away in a never-ending game of “I’ll deal with it later.”

Handling these inquiries manually isn’t just inefficient — it’s mentally draining. As a business owner or ops lead, your time should go to higher-value decisions and customer follow-ups, not repetitive, trivial filtering.

My Solution: an Automated AI Inquiry Processing Pipeline

My thinking was simple: let the right tool do the right job. AI is this powerful now — why not put it to work for us?

So I designed this automated pipeline:

Step 1: Centralize all site inquiries

First, I set up a central database. No matter which site’s inquiry form a customer submits through, the data is automatically captured and sent to this database. No more logging into different site backends to check inquiries — everything is visible at a glance.

Step 2: AI auto-translation and classification

This is the core of the whole system. When a new inquiry lands in the database, the system triggers two AI operations:

  1. Auto-translation: The system calls an AI translation API (like Google Translate or DeepL’s API) and automatically translates the inquiry into my chosen language (Chinese or English). Whether the inquiry arrives in Spanish, Russian, or Arabic, I see clear, readable content.

  2. AI validity check: After translation comes the more critical step. I use a large language model (something like GPT) to analyze the inquiry and judge whether it’s a “valid inquiry.”

    I give the AI clear instructions on what counts as a real inquiry. For example:

    • Signals of a valid inquiry: Mentions a specific product model, asks about pricing (e.g., “price for product ABC”), asks about minimum order quantity (MOQ), requests detailed product specs, has a clear company introduction, expresses clear cooperation intent, etc.
    • Signals of an invalid inquiry: Pure ad pitch (e.g., “we can boost your ranking”), garbled content, one or two words only (e.g., “hello”), abusive or illegal content, etc.

    Based on these rules, AI tags each inquiry: “valid” or “invalid.”

Step 3: Push valid inquiries precisely

The final step is filtering and delivery.

The system follows one rule: only inquiries AI marks as “valid” get auto-forwarded to my work inbox.

What about the “invalid” ones? They sit quietly in the database — I can check them anytime, but they never “harass” my inbox again.

The Result After the Upgrade: Focus Creates More Value

After this overhaul, my workflow changed fundamentally:

  • A cleaner inbox: Every inquiry email I receive now is a “qualified prospect” after AI filtering. All I do is reply and follow up.
  • Faster responses: Since I no longer filter manually, I see valid inquiries immediately and respond quickly. For B2B, response speed often decides whether you win the customer.
  • Time set free: I reinvested the 1-2 hours I used to spend daily on junk inquiries into content creation, market analysis, and customer relationship management. My work feels far more valuable.
  • A stronger system: This setup can easily handle more sites and bigger inquiry volumes down the road — it scales beautifully.

In the AI era, everyone doing foreign trade and running independent sites should think about how to use technology to streamline workflows and free ourselves from repetitive labor.

My little system upgrade is a great example. There’s no fancy tech here — the core idea is combining existing AI tools (translation, LLMs) with my own business needs to solve a real pain point.
