Cloudflare's Free Email Service: Get a Professional Domain Email in Minutes
This is Neo from the indie e-commerce world. Today I’m talking about a slick trick that can make your site look instantly more professional — and it’s completely free: getting an email under your own domain.
A lot of people just starting their indie stores still use personal Gmail, Outlook, or QQ addresses as their public contact email. Honestly, when a customer sees [email protected], doubts creep in: “Is this company legit? Looks like a one-person side hustle…”
A professional address like [email protected] communicates trust and professionalism. It boosts your brand image, increases customer confidence, and can even nudge up your inquiry-to-sale conversion rate.
In the past, getting a domain email meant either paying for an enterprise email service or wrestling with your own server — a hassle for us cost-conscious indie sellers.
But today I’m sharing a perfect “free lunch” solution: Cloudflare’s email routing service.
What Is Cloudflare’s Free “Email Routing”?
First, let’s be clear: Cloudflare doesn’t provide a full-fledged mailbox like Gmail where you log in to send and receive. What it offers is an “Email Routing” (a.k.a. email forwarding) service.
What does that mean?
Think of it as a professional mailroom. Every email sent to your domain address (like [email protected]) gets received by Cloudflare’s “mailroom”, which forwards it — every single one, in real time — to the personal inbox you specify (like your Gmail).
You won’t even notice the delay, but your customers always see your classy domain address.
The benefits are obvious:
- Absolutely free: This is included in Cloudflare’s free plan. Zero cost.
- Instant professionalism: Say goodbye to personal addresses; your brand instantly looks legit.
- Privacy protection: You never expose your personal inbox to the public, avoiding spam.
- Simple setup: No coding or server knowledge needed — a few clicks in the Cloudflare dashboard and you’re done.
The Big Question: Receive-Only?
This is the biggest “quirk” of Cloudflare’s email routing: by default, you can only receive mail on your domain address.
When you reply to a customer, if you hit “Reply” directly in Gmail, the sender shows as your Gmail address — busted.
Don’t worry, there’s a perfect workaround. With a simple Gmail setting, you can send mail “as” your domain address. Then both receiving and sending are flawless.
Hands-On: Three Steps to Set Up Cloudflare Email Routing
Prerequisite: your domain is already on Cloudflare for DNS. (If it isn’t, I strongly recommend moving it over — the free CDN and security features are genuinely great.)
Step 1: Create your custom address
- Log into your Cloudflare account and select your domain.
- In the left menu, find Email > Email Routing.
- Click Get started.
Cloudflare will have you create your first custom address. For example, I want to create [email protected].
- In Custom address, enter
service. - In Destination address, enter the personal inbox you want to receive mail, like
[email protected].
Then click Create and continue.
Step 2: Verify your personal inbox
Cloudflare sends a verification email to your personal inbox ([email protected]). Find it and click the verification link inside. This confirms the inbox is really yours.
Step 3: DNS records added automatically
After verification, Cloudflare automatically adds the MX and TXT records needed for email routing to your domain’s DNS settings. No manual work — it’ll show “Routing enabled”, meaning mission accomplished!
Now try it: have a friend, or your other email account, send a test message to [email protected] and see if it lands in your Gmail. Pretty magical, right?
Level Up: How to “Send” Mail from Your Domain Address
Okay, receiving is solved. Now for sending. We’ll use Gmail as the example.
- Log into Gmail, click the gear icon in the top-right, and select “See all settings”.
- Switch to the “Accounts and Import” tab.
- Under “Send mail as”, click “Add another email address”.
- In the popup, for Name you can put your brand name; for Email address, enter the domain address you created in Cloudflare (e.g.,
[email protected]). - Uncheck “Treat as an alias”, then click “Next Step”.
- Key step: On the SMTP server settings page, fill in:
- SMTP Server:
smtp.gmail.com - Port:
587 - Username: your full Gmail address (e.g.,
[email protected]) - Password: your Gmail app password. Note: this is NOT your Gmail login password! You need to generate an “app password” in your Google Account settings.
- Keep TLS encryption selected.
- SMTP Server:
- Click “Add Account”. Google sends a verification email to your domain address (which forwards to your Gmail) — enter the code from it, and you’re done!
Once set up, when composing in Gmail you can freely choose the “From” address — Gmail or your domain address.
Summary
For the vast majority of indie sellers and personal brands, Cloudflare’s email routing combined with Gmail’s “Send mail as” is a zero-cost, high-return pairing.
It makes your site look more professional and trustworthy while protecting your personal inbox’s privacy. The whole setup takes about 10 minutes with virtually no learning curve.
If you’re still using a personal address as your store’s contact email, don’t overthink it — go set this up on Cloudflare now! This tiny change might bring your business unexpected positive impact.
